The problem you named

How do I make my coaching sessions more valuable but also take less time?

Melinda Heryford, 14 October 2026

You already have the hard part built. Fathom listens to every coaching call. Your skill writes the follow-up email and carries the action items into the next agenda. Another one reads every client dashboard, tells you what is up and what is down, and populates each agenda. You just added a dashboard for the call itself.

What is missing isn't the listening. It's that nothing holds each client's whole picture in one place. Your words: it has it in different places, but it doesn't have it memorized.

The cost of leaving it

You lost both client-facing consultants and all the coaching came back to you. Ten clients, one person. Every hour you spend building this yourself is an hour you used to be able to hand to somebody else, and you're in the last five years of this work.

It takes a lot of time to build ... I'm just trying to expedite the build so I can get on with the work.

Melinda Heryford, 14 October 2026

That's what you're buying here. The build, done, so you get back to consulting.

Your week, before and after

Same Monday, same Fathom, same dashboards. Here is the difference where it shows up.

Your coaching week now

Monday automation tells you what is up and what is down
It lands in each agenda with their carry-forwards
The call happens and Fathom records it
The recording goes to Drive and nothing reads itNothing happens here
Next session you work from the numbers and what you remember

Your Monday automation never gets touched. This is the part you said is not built.

The four projects

In the order you put them. Each one stands alone and is priced on its own, so take one, take them in sequence, or take all four. Check what you want and the total moves.

You walk into a coaching call already knowing what their wig is, what their myth is, what they committed to and where they slipped, without looking any of it up.

One client record, built as a template you use for every client. It holds their goals, their vision, their staff and roles, their carry-forwards and their action plan, and Claude reads all of it before you walk in.

I build the template and set your first client up in it with you, so you watch it work once. After that you add the rest yourself, and you get a one-page runbook for doing it.

You and your team have access. Your clients don't. Asana stays exactly where it is and I never go into it.

When a client is struggling you get told which part of your own curriculum they are missing, so you reinforce it instead of improvising.

One place holding your six pieces, the mechanics of the execution system, roles and responsibilities, and the systems you teach outside the six.

It stays yours alone, and the client records read from it. The curriculum never gets copied into a pile of places, so you fix it once and every client gets the fix.

The questions you ask come from what the client actually said in past sessions, not from what you can hold in your head across every client you have.

Your tool already reads the dashboards and writes the agenda. This makes it read the past session recordings too, and hand you the questions to ask next time.

It's an addition to what you already built, not a new thing to learn. We tune it against your real recordings until the questions it hands you are ones you'd actually ask.

You stop hunting. The material sits in one place the client records can read.

Your coaching material comes out of the folder layers it's in now and into one place, organized so the client records can pull from it and so adding to it next month keeps it tidy instead of making it worse.

You raised Notion as the cleaner home for it. If that's the call, it gets set up and you get taught it, because you haven't used it and said you haven't had the energy to work it out. The teaching is most of this, not the setup.

All four together is $7,500, which is $1,050 less than taking them one at a time. It's all built off the same material, so one pass costs less than four separate starts, and that comes back to you.

Included in every project

A working system in your hands, not a demo. Built on your material, your curriculum and your language. Two rounds of changes. A short written runbook so your team can keep it going without you.

And we install it the way you said you liked. I build it in my own system first. Then we get on Zoom, you give me control of your Claude, and I install it while you watch. No passwords, nothing happening out of your sight.

Timing

We set the dates once you pick, and they go in writing before any work starts. They run in whatever order you want, and you see each one working before I move to the next.

Not in this

Hiring, the new patient call analysis, the social media piece, and rolling the client records out to your clients. All still on my list, none of them priced here.

Ten clients, one of you

You were running ten clients with two consultants sharing the coaching. Now it's ten clients and you.

None of this replaces those two people. What it does is take the part of their work that was remembering, preparing and chasing, and hand it to you already done. Less of your week per client, and the sessions get sharper instead of thinner.

If it means you can hold all ten without hiring a replacement, you already know what that's worth.

If you want me to keep building after this

Fractional AI builder

I said on our call I'd give you this as well. A couple of days a week, every week, and we build whatever you need built.

One day a week$6,000 a month
Two days a week$10,000 a month
Three days a week$15,000 a month

This isn't instead of the four above. It's for after them, and for the pieces that aren't scoped yet. You point at whatever is next and I build it.

No minimum term. Either side can stop with 14 days' notice.
